Information about your health, treatment, or payment for care that we receive through the Site, such as new patient forms or portal messages, is protected health information (PHI).
We use and share PHI only as allowed by HIPAA and as described in our Notice of Privacy Practices. Cookies and tracking technologies
The Site is hosted on Wix.com, which uses cookies and similar tools so the Site works properly and so we can understand how visitors use it.
-
Essential cookies load pages, keep the Site secure, and make forms and online booking work.
-
Analytics from Wix's built-in site statistics shows us visit counts and which pages are popular. It does not receive your health information. If we add other analytics or advertising tools, we will update this policy to name them.
We do not place advertising pixels or third-party tracking tools on pages where you enter health information, such as our contact and appointment request form or any patient forms.
You can block or delete cookies in your browser settings, though some features may stop working. To learn more, see the Wix cookie policy. The Site does not currently respond to browser "Do Not Track" signals.
How we share your information
We do not sell, rent, or trade your personal or health information. We share it only in these cases:
-
Your care team: specialists, dental labs, and other providers involved in your treatment.
-
Insurance and payment: your dental insurance carrier and our billing and payment processors.
-
Service providers: companies that host the Site, manage scheduling and patient records, send reminders, or process forms. Those that handle health information sign Business Associate Agreements.
-
Legal requirements: when required by law, court order, or public health and safety rules, or to protect the rights and safety of our patients and staff.
-
Business transfers: if the practice is sold or merged, records may move to the new owner, who must protect them as the law requires.
-
With your permission in any other case.
All of the categories above exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties.
Text messages (SMS)
If you opt in, Kira Dental will send you text messages about appointment reminders and confirmations, recall notices, billing, and follow-up about your care. You can opt in by checking the text message consent box on our website form or by telling our front desk staff that you want to receive texts. Consent to receive text messages is not a condition of receiving care or of any purchase.
-
Message frequency varies.
-
Message and data rates may apply.
-
Reply STOP at any time to opt out. Reply HELP for help, or call us at 239-800-0662.
-
Carriers are not liable for delayed or undelivered messages.
We keep text messages brief and do not include treatment details.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors that support our services, such as our text messaging provider, is permitted. Text messaging originator opt-in data and consent will not be shared with any third parties.
When you give us your email address, we may email you about appointments, recalls, billing, and your care. Regular email is not fully secure. If you ask us to email you information about your care, we will do so only after explaining the risk, or we will use a secure message.
Marketing
If we send newsletters or special offers, each will include a way to unsubscribe. We never use your health information for marketing without your written permission. If we send marketing text messages, we will ask for your separate consent first.
How we protect and keep your information
We protect your information with administrative, physical, and technical safeguards that meet HIPAA requirements. These include encrypted (HTTPS) connections on the Site, secure forms and patient portal, access limited to staff who need it, and staff privacy training.
We keep dental records for as long as Florida dental record-keeping law requires, and longer when needed for a patient's ongoing care. Website inquiries that do not lead to an appointment are kept only as long as needed to respond.
No website or electronic system is completely secure. If a breach affects your health information, we will notify you as the law requires.
Your choices and rights
You can contact us at any time to:
-
Ask for a copy of your dental records or the information we hold about you
-
Correct information that is wrong or incomplete
-
Change how we contact you, or stop texts and marketing emails
-
Ask us to delete website information that is not part of your dental record (dental records must be kept as the law requires)
We respond to records requests within the time HIPAA and state law allow. We may need to verify your identity first.
Children's privacy. We treat children as patients, but the Site is meant for parents and guardians. We do not knowingly collect information online directly from children under 13. A parent or guardian should complete forms and requests for a child.
Links to other sites. The Site may link to other websites, such as our Instagram and Facebook pages, insurance carriers, or financing companies. Anything you post or message to us on social media is governed by that platform's privacy policy, so please do not share health details there. We are not responsible for their privacy practices.
Changes to this policy
We may update this policy from time to time. When we do, we will post the new version here and change the effective date at the top. Continuing to use the Site after a change means you accept the updated policy.
